What data we collect
We may collect the following personal data:
- Name, email address, phone number
- Company or organisation name
- Your role (e.g. landlord, managing agent, property manager, tenant)
- Postcode and property address
- EPC ratings and compliance data for properties you identify as yours
- Messages you send us via our contact or quote request forms
- Technical data such as IP address, browser type, and pages visited (via cookies)
How we collect your data
We collect data when you:
- Use our MEES Compliance Checker and request a report
- Submit a contact form, quote request, or enquiry
- Email, call, or message us directly
- Browse our website (technical data via cookies)
Why we collect your data and our lawful basis
We process your data for the following purposes:
- To provide our services: processing your enquiry, preparing quotes, scheduling assessments, and delivering certificates. Lawful basis: contract performance and legitimate interest.
- To send your EPC compliance report: when you use our EPC Checker and request results by email. Lawful basis: your consent (you submit the form).
- To send marketing communications: MEES regulation updates, energy compliance information, and service offers. Lawful basis: your explicit consent (opt-in checkbox). We only send marketing emails if you tick the consent box. You can withdraw consent at any time.
- To improve our website: understanding how visitors use our site. Lawful basis: legitimate interest.
Marketing communications
We will only send you marketing emails if you have given explicit consent by ticking the opt-in checkbox on our forms. Marketing emails may include MEES regulation updates, energy compliance guidance, and information about our services.
You can withdraw your consent at any time by replying "unsubscribe" to any marketing email, or by contacting us at info@axeenergy.co.uk. We will stop sending marketing communications within 48 hours of your request.
Withdrawing marketing consent does not affect emails related to a service we are actively providing to you (e.g. appointment confirmations, invoice delivery).
How we store your data
Your data is stored securely using industry-standard encryption and access controls. We use Supabase (hosted in the EU) for our database and Resend for transactional email delivery. We do not sell, rent, or share your personal data with third parties for their own marketing purposes.
How long we keep your data
- Enquiry and lead data: up to 24 months from last contact, then deleted
- Customer and project data: 6 years from completion (legal and tax obligations)
- Marketing consent records: retained as long as consent is active, then 12 months after withdrawal for record-keeping
Your rights
Under the UK GDPR, you have the right to:
- Access the personal data we hold about you
- Rectify inaccurate or incomplete data
- Erase your data ("right to be forgotten")
- Restrict processing of your data
- Object to processing based on legitimate interest
- Data portability (receive your data in a structured format)
- Withdraw consent at any time where consent is the lawful basis
